An appointment is rarely just a date and time. There may be a letter to bring, transport to arrange, questions to remember and follow-up work afterwards.
A simple system that works
1. Before the appointment
Confirm the time, location, transport, who is going and what paperwork needs to be taken.
2. Write down the questions
Keep the practical questions in one place so they are not buried in separate messages.
3. Record the outcome
Write down what changed, what needs to happen next and who is meant to arrange it.
4. Create follow-ups immediately
Turn any new form, booking, call or deadline into a visible task before it is forgotten.
5. Share the useful update
Family members usually need the outcome and next actions, not a replay of the whole appointment.
Do not wait for a perfect setup
Start with the next real thing that needs doing. A small current system is more useful than a complete archive nobody can maintain.
