How to organise family care admin

When several people are helping someone, the hard part is often the stream of appointments, letters, forms, reminders and small follow-ups that everyone is trying to remember.

A simple system that works

1. Start with what is happening now

Write down the next appointments, deadlines and unfinished follow-ups. Do not begin by trying to rebuild years of history.

2. Create one current contact list

Keep the people and services the family actually needs to contact, plus a short note about what each one is for.

3. Give every open job an owner

A task should show who is handling it, what needs to happen next and when somebody should check again.

4. Keep the source beside the action

If a letter created a deadline or an appointment created a follow-up, keep them connected so nobody has to rediscover the context.

5. Review once a week

A short weekly check catches loose ends before they disappear into messages, folders and memory.

Do not wait for a perfect setup

Start with the next real thing that needs doing. A small current system is more useful than a complete archive nobody can maintain.
