Long-distance family members can still carry a useful share of the admin. Calls, bookings, forms, reminders and keeping everyone updated can all be handled remotely.

A simple system that works

1. Own jobs that do not require being there

Take responsibility for calls, booking, paperwork, follow-up chasing and maintaining shared information.

2. Keep local contacts visible

Know who can physically check in, provide transport or deal with something that cannot be solved remotely.

3. Use one place for current status

Remote helpers should see the latest tasks and appointments without requesting a full briefing every time.

4. Plan for time zones and opening hours

Record when services can be contacted and who can act locally when you are unavailable.

5. Keep the next action obvious

Every open item should have a clear owner and next step so remote help actually reduces the load.

Do not wait for a perfect setup

Start with the next real thing that needs doing. A small current system is more useful than a complete archive nobody can maintain.
